FAQ

OATAO (Open Archive Toulouse) is a Université Fédérale Midi-Pyrénées project.

This institutional open access repository has been designed and is managed by documentation professionals from several institutions which are members of the University of Toulouse:

1. l'Institut National Polytechnique de Toulouse (INPT)
2. l'École Nationale Vétérinaire de Toulouse (ENVT)
3. l'Institut Supérieur de l'Aéronautique et de l'Espace (ISAE-SUPAERO)

This open access repository aims at:

• facilitating the sharing of publications in a legal and perennial mode;
• enhancing the visibility of research and preserving the scientific output of the member institutions;
• ensuring the follow-up of publications and designing research indicators.

It can also be of great value to :

1. increase the number of citations;
2. manage your personal or shared library;
3. draw up your own bibliographic lists;
4. preserve your scientific ouput;
5. follow-up the statistics concerning your publications downloads on the internet

The staff working at INPT, ENVT and ISAE-SUPAERO are entitled to do so.

Your library is also available to answer your queries and guide you in the process.

Please note:

• Concerning conference papers, textbooks and publications, only those approved/validated by a review committee will be eligible for OATAO, i.e "in-press" "or post-print" versions; It is also recommended to submit the author's release (i.e the release anterior to scientifc journal formatting) since most publishers only authorize the former.
• Confidential documents are not meant for submission on OATAO
• Willing to save a dissertation? Please note it has to be validated before being authorized for circulation.

Am I allowed to save my own publications in an institutional archiving system? All researchers are entitled to save their publications in an institutional repository, regardless of the dissemination rights requested by the publisher.

The law dated 07/10/2016, i.e loi pour une République Numérique, reads as follows:

Consequently, whatever the type of contract with the publisher, you can save in an open archive the version that has been accepted as soon as it is published. The provisions of the French law above-mentioned apply to all the publishers, including publishers abroad.

Once the document has been saved in the open archive, the legal prerequisites for circulation are checked by the librarians via the Sherpa-Romeo site or directly with the publishers.

Should a publisher refuse the immediate circulation of a publication and keep it under embargo, OATAO cannot authorize direct access to the document that has been saved ; only the bibliographic data and the abstract remain accessible. According to the provisions of the loi pour une République Numérique, the restricted access period is limited to six (6) months max. from the date of publication by the publisher.

Anyone willing to consult a publication kept in restricted access can ask the author for a copy of the document for private use or research work. The application is to be made directly with the author via an anonymous dialogue box.

When the document is no longer under embargo, it can be consulted in OATAO without any restriction. Yet, if the publisher does not allow its circulation, the document will be kept in restricted access.

Moreover, when signing the publishing contract, you can claim the right for submission to an institutional open archive.

The SPARC Author Addendum that can be downloaded here is a legal instrument entitling you to keep the key rights to your document(s). It is a free resource developed by SPARC (Scholarly Publishing and Academic Resources Coalition) in partnership with Creative Commons and Science Commons which are non-profit organizations offering a wide portfolio of copyright options to authors.

SPARC (Scholarly Publishing and Academic Resources Coalition) is a coalition of academic and research libraries aimed at promoting the open sharing of research outputs with a view to enable access to knowledge, accelerating discovery in research and education and fostering the emergence of alternative publication models.

The answer is YES. Copyrights apply to all the co-authors of a publication who have signed the copyright assignment transfer contract to the publisher.

The information concerning the access policy and the re-use of the documents added to OATAO ePrints can be consulted herein.

When adding documents to the OATAO repository, you can choose to transfer them or not to the multi-disciplinary HAL open access archive.

Only the papers and conference or workshops items that have been submitted to and validated by a review committee can be transfered to HAL.

After the transfer, the OATAO managers can only modify the metadata.

In 2017 OATAO launched a connection to IdRef (Identifiers and frames of reference for Higher Education and Research).Thanks to this application, reliable, permanent and unique identifiers are allocated to the members of the Higher Education and Research community. A unique IdRef identifier is given to each new French researcher applying for a doctoral thesis.

Each document submitted on OATAO has a link to its OATAO author’s (Toulouse INP, ENVT and ISAE-SUPAERO) IdRef details: this allows a unique access to all of the documents mentioned in different sources or catalogues (thesis, books, articles, courses, etc.).

From a document on OATAO you can display each OATAO author’s IdRef details by clicking on.

An IdRef page contains a complete list of a researcher’s publications, sorted by role (author, thesis supervisor, jury, etc.) or by source (Sudoc, theses.fr, HaL, OATAO, ORCID, etc.)

By clicking on Statistics on the home page banner, you can:

• narrow down your search on an author, a research laboratory, a title, an institution, etc..
• visualize the number of downloads, full text documents, the list of the most viewed documents, etc.
